FAQs

Honest answers.

What must a UK invoice include?

A unique invoice number, the invoice date and the date you supplied the work, your name, address and contact details, your customer's name and address, a clear description of what you're charging for, the amounts and the total owed. If you trade under a business name, add that name and an address where legal documents can be delivered to you.

Do I add VAT if I'm not VAT registered?

No. You can't charge VAT or show a VAT number until HMRC has registered you and given you a VAT registration number. You have to register once your VAT taxable turnover goes over £90,000 in any rolling 12 months, or as soon as you expect it to go over £90,000 in the next 30 days alone.

What is a supply date?

The date you delivered the goods or did the work. GOV.UK lists it separately from the invoice date, so put both on, even when they're the same day. If you're VAT registered, your tax point (time of supply) can be the invoice date or the payment date instead; VAT Notice 700 sets out when.

How should I number my invoices?

Every invoice needs a unique number. If you're VAT registered, HMRC wants a sequential number based on one or more series, so a separate run per year or per client is fine as long as no number is used twice.

How do I send the invoice?

Email the PDF to the person who pays your invoices and keep a copy for your records. If you're VAT registered, you have to keep copies of every invoice you issue, cancelled ones included.
